Camera-Ready Paper Preparation and Submission Instructions

Submission deadline: 19th July, 2024

Camera-ready paper AND IEEE electronic copyright form MUST be submitted through the EUVIP 2024 submission system no later than 19th July, 2024.

Before Creating Your Final PDF File

Revise your paper taking into account the reviewers’ comments and format it properly (see Author Kit for formatting guidelines).

Include author name(s) and affiliation(s) in the first page of your source document. Follow the corresponding formatting instructions described in the IEEE conference templates available here.

Add the copyright notice to the bottom of the first page of your source document. Use the IEEE conference templates available here to add the copyright notice at the correct location. More specifically, replace the first page footer XXX-X-XXXX-XXXX-X/XX/$XX.00 ©20XX IEEE with the appropriate copyright notice:

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3503-9114-5/24/$31.00 ©️2024 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3503-9114-5/24/$31.00 ©️2024 European Union
  • For all other papers the copyright notice is: 979-8-3503-9114-5/24/$31.00 ©️2024 IEEE

Please MAKE SURE that your source document contains no headers, no footers (except for the IEEE copyright notice), and no page numbers.

Check IEEE Xplore Compliance

Note that, it is REQUIRED that all PDF submissions be IEEE Xplore-compliant. If your file does not meet Xplore compliance, it will NOT be published and will be removed from the EUVIP 2022 Proceedings.

To help you meet this requirement, you must FIRST check to ensure that your PDF file is compliant by using the IEEE PDF eXpress system BEFORE you submit your paper to the conference submission website.

First-time PDF eXpress users should do the following:

  • In the IEEE PDF eXpress website, click ‘Create account’.
  • Enter 61797X for the ‘Conference ID’, your email address, and choose a new password.
  • Continue to enter information as prompted.

An online confirmation will be displayed and an email confirmation will be sent verifying your account setup. Once you have created your account, you can login anytime to submit your PDF for Checking, or source file for Conversion to PDF.

Previous PDF eXpress users should login to the IEEE PDF eXpress website using this conference ID (61797X) and the same email and password they used for previous conferences. Verify that your contact information is valid.

IMPORTANT: Any changes made to a PDF after IEEE PDF eXpress Conversion or PDF Checking, such as copyright notice insertion, may invalidate Xplore compatibility. Please ENSURE that all changes are made to your source document before creating the PDF file.

Upload Your Camera-Ready Paper

Once you have an acceptable IEEE Xplore-compliant PDF file, return to the EUVIP 2024 submission website and upload it by selecting ‘Create Camera Ready Submission’ from the ‘Actions’ column.

Please keep in mind that checking your PDF file for compliance and submitting your final paper for publication are 2 separate procedures. After you have finished using the IEEE PDF eXpress system to either check your file for compliance or to generate a compliant file, MAKE SURE to return to the EUVIP 2024 submission website and upload your IEEE Xplore-compliant PDF file.

Fill eCF and Upload onto the Submission System

The IEEE electronic Copyright Form (eCF) MUST be filled and uploaded onto the EUVIP 2024 submission system in order for your accepted paper to be published in both the EUVIP 2024 Proceedings and the IEEE Xplore Digital Library.

  • Go to the EUVIP 2024 submission website and select your paper.
  • From the ‘Actions’ column, select ‘Submit IEEE Copyright Form’.
  • Click ‘here’ to redirect to the IEEE Copyright Website.
  • Follow the instructions on the IEEE Copyright Website.
  • Press on the ‘Download the completed Agreement (PDF)’ button, and then on the ‘Done’ button.
  • Upload the downloaded CopyrightReceipt.pdf onto the EUVIP 2024 submission system.
